Safari Shops Buyer – Luxury Safari Company – Johannesburg
Our client, a luxury safari company with lodges across Africa, is looking for a dynamic, enthusiastic, service driven team player to join their team as a Safari Shops Buyer to satisfy all requirements for the shops at their high-end properties.
This role requires a very focused and highly organised person with a can-do attitude and a willingness to help wherever they are needed, regardless of their job title. This position is permanent and based at their warehouse in Johannesburg.
Location: Johannesburg warehouse
Salary: R15000 negotiable dependent on experience
Description:
The Safari Shops Buyer is responsible for planning and managing the orders for all our client’s signature shops. Working collaboratively with the shop planners and the Group manager, the Safari Shops Buyer is tasked with placing and coordinating orders and deliveries, managing all administrative queries with suppliers, and maintaining accurate databases. This role also involves assisting with all direct guest and staff shopping queries. The successful candidate will report to the Group Safari Shops Manager.
Key Performance Indicators:
BUYING and PROCUREMENT:
Manage stock replenishment orders according to deadlines and product lead-times.
Raise and place orders with suppliers.
Coordinate collections and deliveries.
Liaise and follow up with suppliers to confirm delivery dates, cost prices, and availability of products.
Negotiate cost prices where possible and needed.
Liaise with suppliers to obtain correct documentation (invoices, credit notes, statements).
Fulfil guest and staff shopping along with internal stock transfer requests across the group.
Work together with the planning team to place orders for all suppliers across Africa.
Analyse inventory requirements for all stores to anticipate group reorders and optimise stock holding.
Drive reordering process according to the planning cycle.
Assist the Group manager with reviewing collections and product selection to build strong product knowledge.
Look for new suppliers and products according to shop requirements.
Pull monthly sales reports and submit consignment sales for invoicing and payment.
ADMINISTRATION:
Resolve all creditor queries.
Check invoices against orders and update orders and supplier order forms with correct cost prices.
Update and maintain accurate information of all products and suppliers.
Supplier code, name, and contact details.
Item codes, description, category, cost prices, and RSP.
Assist with stock conversions in PANSTRAT when needed.
GUEST AND STAFF SHOPPING:
Assist the Group manager with all queries (guests/staff/internal).
Liaise with the suppliers/lodges and guests to arrange for requested products.
Place orders with suppliers and receive stock.
Arrange for courier quotes and logistics of goods to the guests.
Packing of guest shopping purchasing for shipping quotes.
Issue invoices and secure payments.
Stock taking.
Reconcile banking weekly with administrator.
OTHER:
Assist where needed in our client’s signature shops to ensure they keep delivering on their promise of extraordinary guest experiences.
Work safely at all times, complying with health and safety and other relevant regulations and guidelines.
Report any hazards identified and any actions you have taken.
Be an integral part of the team at the warehouse.
Requirements:
KNOWLEDGE / EXPERIENCE REQUIRED:
Experience in a prior administrative or finance role.
Working experience in a luxury, design, retail, or hospitality environment.
Understanding of retail cycles and buying, sourcing, and planning processes.
Familiarity with the inner workings and product strategies & philosophies of a luxury retail environment.
Strong commercial and financial acumen.
SKILLS REQUIRED:
Excellent planning and organisational skills.
Organised and methodical, strong time management skills.
Strong numeracy and analytical skills.
Proficient in Microsoft skills, including MS Word, PowerPoint, Excel (including pivot tables).
High attention to detail.
Possess good problem-solving and conflict management skills.

Good interpersonal skills.
Impeccable honesty and integrity.
Diligence and the self-motivation to meet deadlines and keep on top of your job.
Excellent communication skills in English.
QUALIFICATIONS REQUIRED:
Qualification in Retail or Business Administration.
Working experience in a procurement administration role.
Experience in the luxury fashion industry or hospitality is a plus.
Knowledge of ACCPAC & PANSTRAT is an advantage.
Driver’s licence.
