Reservations Coordinator – Luxury Hotel Group – Cape Town

Are you an experienced professional with a keen eye for detail and a dedication to excellence in hospitality? A Luxury Hotel Group, situated in Cape Town, is actively seeking a meticulous and organised Reservations Coordinator to join their esteemed team.

Description:

  • Provide efficient and responsive support to our operations teams, addressing reservations-related queries.
  • Respond to internal and external inquiries about company policies, procedures, and services with professionalism and clarity.
  • Meticulously maintain and update reservations data on the Property Management System (PMS).
  • Oversee and update databases and spreadsheets, ensuring accuracy in guest checkouts and billing charges.
  • Handle special guest requests promptly and efficiently.
  • Generate reports regularly, meeting daily, weekly, and monthly requirements.
  • Cross-train across various departmental areas to ensure seamless coverage during peak periods.
  • Assist with general reservations and booking inquiries.
  • Post payments and update invoices accurately, ensuring timely communication with agents.
  • Manage visa letters and consistently update the revenue board.
  • Execute end-of-day procedures for specific properties, releasing allocations and ensuring operational efficiency.
  • Conduct daily quality checks for arrivals, including profile merging and accuracy validation.
  • Share weekly programs with arrivals as necessary.
  • Assist with follow-ups on Online Travel Agency (OTA) payments.
  • Reconfirm transfers with external suppliers, obtaining necessary details for a smooth guest experience.
  • Process and submit refunds meticulously, from paperwork completion to proof of payment sharing with guests.
  • Cross-reference daily checks against various platforms to ensure booking accuracy.
  • Undertake general administrative duties to support the reservations team.
  • Assist with reservations-related Property Management (PM) accounts.

Requirements:

  • Maintain a quality-focused mindset with a professional and positive demeanour.
  • Previous experience in the hospitality industry is essential.
  • Exhibit exceptional time management, communication skills, and a commitment to customer service.
  • Proficiency in the Opera system is a prerequisite.
  • Possess meticulous attention to detail and proven administrative skills.
  • Strong organisational skills with adaptability and flexibility.
  • Ability to thrive in a fast-paced environment, managing multitasking and complex problem-solving.
